REFUND, RETURN & CANCELLATION POLICY

GIBON EVENTS

At Gibon Events, we understand that planning an event involves significant time, coordination, and investment. We aim to provide professional, transparent, and reliable event management services while maintaining clear terms regarding cancellations, refunds, postponements, and changes to confirmed bookings.

This policy applies to event planning, wedding management, corporate events, MICE, conferences, exhibitions, brand activations, product launches, private parties, destination events, catering, decoration, entertainment, photography, videography, and other services provided by Gibon Events.

1. Booking Confirmation

An event booking is considered confirmed only after the required advance payment has been received and the booking has been formally acknowledged by Gibon Events.

The advance payment may be used to secure venues, vendors, artists, equipment, production resources, accommodation, transportation, catering, decoration, and other services required for the event.

Once these arrangements have been confirmed or payments have been made to third-party vendors, certain amounts may become non-refundable.

2. Cancellation by the Client

Cancellation requests must be submitted to Gibon Events in writing through email or another officially accepted communication channel.

Refund eligibility will depend on the cancellation date, amount already paid, services booked, vendor commitments, venue charges, and expenses incurred by Gibon Events on behalf of the Client.

Any advance amount already committed or paid to venues, vendors, artists, suppliers, caterers, decorators, photographers, transportation providers, or other third parties may be non-refundable.

The applicable cancellation and refund terms communicated in the approved quotation, package, invoice, or service agreement will prevail for the specific event.

3. Cancellation Charges

Cancellation charges may vary depending on how close the cancellation is to the scheduled event date.

The following may be considered while calculating the amount refundable, if any:

Venue booking charges
Vendor and supplier commitments
Artist or entertainment bookings
Catering arrangements
Decoration and production expenses
Photography and videography bookings
Transportation and accommodation arrangements
Administrative and planning expenses
Other non-recoverable costs incurred for the event

Any applicable cancellation charges will be communicated to the Client based on the specific booking and agreed commercial terms.

4. Refund Eligibility

Where a refund is approved, the refundable amount will be calculated after deducting applicable cancellation charges, third-party expenses, and other non-refundable costs already incurred.

If no refundable amount remains after such deductions, no additional refund will be payable.

Refunds, where applicable, will generally be processed within 7–10 business days after the refund has been approved.

The actual time required for the amount to reflect in the Client's account may depend on the payment gateway, bank, or financial institution.

5. Event Postponement / Rescheduling

Clients may request postponement or rescheduling of an event by contacting Gibon Events as early as possible.

Rescheduling is subject to the availability of the new event date, venue, vendors, artists, caterers, production teams, and other service providers.

Additional charges may apply where vendors, venues, artists, suppliers, or other service providers impose date-change or rescheduling charges.

Any difference in pricing caused by the new event date, venue, guest count, seasonal pricing, or revised requirements may also be payable by the Client.

6. Changes to Event Requirements

Changes to the event requirements after confirmation, including changes to guest count, venue, catering, decoration, entertainment, production, photography, transportation, or event schedule, may affect the total service cost.

Additional services requested after confirmation will be subject to availability and may be charged separately.

Reductions in services or guest count do not automatically guarantee a proportional refund, particularly where commitments have already been made to third-party vendors.

7. Cancellation Due to Force Majeure

Gibon Events shall not be responsible for cancellation, postponement, delay, or modification of an event caused by circumstances beyond our reasonable control.

Such circumstances may include natural disasters, severe weather, government restrictions, public emergencies, strikes, riots, venue restrictions, transportation disruptions, technical failures, or other unforeseen circumstances.

In such situations, Gibon Events will make reasonable efforts to assist the Client with rescheduling, alternative arrangements, or other practical solutions where possible.

Refunds in such circumstances will remain subject to amounts already committed to venues, vendors, suppliers, artists, and other third parties.

8. Cancellation by Gibon Events

In exceptional circumstances, Gibon Events may be required to cancel or discontinue a service due to circumstances beyond our reasonable control, operational impossibility, safety concerns, or other legitimate reasons.

Where cancellation by Gibon Events occurs, we will communicate with the Client and, where reasonably possible, offer an alternative arrangement or rescheduling option.

Any refund, where applicable, will be determined based on the services not provided and amounts that can reasonably be recovered after considering third-party commitments and expenses.

9. Third-Party Services

Gibon Events may engage independent venues, caterers, decorators, photographers, videographers, entertainers, transportation providers, production companies, accommodation providers, and other vendors.

Where a third-party provider has already received payment or committed resources for the Client's event, those amounts may be non-refundable according to the provider's own cancellation terms.

Gibon Events will make reasonable efforts to communicate such charges and applicable terms to the Client.

10. No Return Policy for Event Services

As Gibon Events primarily provides planning, management, coordination, and event-related services rather than physical products, traditional product returns or exchanges do not apply.

Any concerns regarding the quality or delivery of an agreed service should be communicated to us as soon as reasonably possible so that we can review the matter and attempt to provide an appropriate resolution.

11. Refund Method

Approved refunds will normally be processed using the original payment method or another payment method mutually agreed upon by Gibon Events and the Client.

The Client may be required to provide accurate banking or payment details where necessary to process an approved refund.

12. Refund Processing Timeline

Once a refund has been approved and the final refundable amount has been determined, Gibon Events will generally initiate the refund within 7–10 business days.

Bank, payment gateway, or financial institution processing times may result in additional time before the refunded amount is credited to the Client's account.

14. Governing Law & Jurisdiction

This Refund, Return & Cancellation Policy shall be governed by the laws of India.

Subject to applicable law, any dispute arising in connection with this policy or the services provided by Gibon Events shall be subject to the jurisdiction of the competent courts in Faridabad, Haryana, India.

15. Policy Updates

Gibon Events reserves the right to modify or update this policy from time to time. Any changes will become effective once the revised policy is published on the website.
